Who Scott Mitchell is and what he does

My main business is an AI training business for founders, so I basically go in, understand what a founder does in their day -to -day, and then help them use AI tools like ChatGPT, like Claude, to then make their day a bit easier, basically. And then I've worked with about 45, maybe 50 businesses here in Liverpool, founders, to help them grow and understand Claude.

I started off with ChatGPT training and I've now moved to mainly just Claude training. Reason being is that for most business tasks, I find Claude to be pretty good. That's because it's great at coding, it's great at connecting things together, and it's great at writing, which involves about 90 % of tasks that business owners do in their day -to -day.

My other business is basically implementing AI operating systems into businesses. So that's kind of like the trainings, like the journey, and then the destinations, like an AI operating system, helping founders who are in the day -to -day basically step away. They shouldn't be the most important part of the business, and so they can step away and then ideally exit for more.

Why Diagrams Matter in Founder Workflows

And so today, across both businesses, I basically draw a lot of diagrams, or I get Claude to draw me a lot of diagrams. diagrams and I use it for content so let's say if I'm maybe doing like a walk through I might get it to draw a couple diagrams for me I will I use it to map out workflows so if I speak to a founder and then they're telling me about what they do how they send emails how they connect to CRMs

I would then map all those out along with again like if I do audits for businesses like mapping and all the opportunities that they can have. And I feel like just visualising stuff in general really helps me kind of understand the business,

understand where I want to go with it. And so that's what I want to show today is basically how you can create nice little diagrams in Claude pretty easily.

Tooling Setup: Connecting Claude to Excalidraw

So first of all, we've got to connect to... I'll stay in chat. Where am I going here? Customise skills.

Let's go. Let's go, okay, it's not there for some reason, there we go, ExcaliaDraw, ExcaliDraw and this is just an MCP connection to ExcaliaDraw, it's like a web based design tool and I'm already connected which is nice, I've got some notes on my phone and using this connection

I'm basically just gonna point Claude at I've connected also to like my Google Drive and so let's say I have a call with someone I've got the transcript I've talked to this founder I understand that it's not about their business and they've talked through a couple of the workflows that transcripts then landed

in my Google Drive folder and then I want Claude to then go and create me a little workflow map of that so I will simply just say let's make sure it's connected. Excalia draw is on, awesome.

Prompting Claude to Build a Workflow Map from a Transcript

Hey Claude, I want you to go and grab me the discovery call from Bennett property and then using the Excalia draw connection I want you to create me a little workflow map of the main workflow in there from inquiry to them being moved in and I want it to be boxes, I want it to be

hand -drawn, add in a couple colors there for the different steps that have been automated with AI or haven't been automated and then add a little title and a little key in there as well.

Okay maybe I shouldn't use Fable. Nearly ran out all my tokens before today's demo because I was using Fable. That would have been embarrassing.

so what i'm hoping claude's going to go and do basically grab the transcript and then map out like the workflow from going they're inquiring about a property for them to be actually moved into them the property and then i'll have a mess around with it um once it's there we go yeah the

Turning Repeated Work into ‘Skills’ (SOPs)

way i suppose when i use um diagrams it's normally a case of like it's baked into a skill hands up if you've used or created a skill in cloud and okay so a skill is essentially a standard operating procedure it's just a set of instructions basically that outline to AI this is how you should do this job so and the way you teach AI or

cloud in this case how to do a job is by doing it in the include because then it has the method to then look back on to understand okay this is what he's looking for this is what the steps that need to take in order for this outcome to happen and then you'll simply say to Claude hey Claude that was great that's what I'm looking for I want to turn

that into a skill and so that now takes your what was maybe half an hour going back and forwards with Claude to try and get to the point where you're happy with a proposal let's say from a client for a client you can now use that proposal skill and only say hey Claude I want you to use the proposal skill on James James's business and then it will take the

method that it grabbed from you working through Claude and understanding and Claude understanding the steps you take to complete a task it'll take that method and apply it to a different job apply to a different function this is

The Emerging ‘Skill Economy’ and Reusing Open Workflows

taking a really long time and so we're moving into a bit of a skill economy and what I mean by that is now as a lot of you probably know you don't have to be coders to be able to use AI and a lot of the cool stuff that you see a lot of people doing out there is actually like open source.

You could go and ask your cloud or your AI to see if there's any repositories or any basically open skills out there that you can go and grab off GitHub to use. If you are not a software developer, there'll be ones out there you can go and basically grab that make you have the skills of being a software developer. developer.

Reviewing the Output and Iterating on the Diagram

I'm hoping this is going to be brilliant, otherwise it's taking way too long. Have you run this conversation already? I'll be honest, no. I did a little test and it worked pretty quickly, so I was like, I'm chilling, it'll be fine. I don't normally use Excalia Draw in Claude, I use a harness. honest, but here we go.

I've got mine to be like an English butler, so that's why it says sir. I like Alfred of Batman. So here we go, so now again it's gone, it's grabbed that information, it's now created a workflow kind of flowchart, if you like, of a process. And

Refining Layout and Colors Through Back-and-Forth

I could say I wanted to maybe change this and I want it to be top down, so hey Claude, I want you to change it so it's going to be top down and then I also want you to change the colors so instead of blue it's green and so if you were to create your own diagram you might go back and

forwards a little bit you might kind of iron out the kinks it might be a case of you know it put these boxes in the wrong position it wasn't using the right colors and so that's where we're kind of now I'm working through Claude and kind of showing Claude the method almost of what I'm trying to

to achieve because i really want these green boxes and so once i've done this so once it's gone back and done this edit it will be a case of me then saying you know what that's fine so the next time i want to use this for a different client um i'll i'll have a skill that i can just apply to it rather than have to explain every single time i want you to do this in this font

with this color with green boxes etc claude will just know um because i will have turned it into a skill and that's what I'm trying to get to here.

Maybe I should have been unfaithful. It's interesting how the paradigm of what we consider slow changes.

Yeah because it was one of the things all today was like oh how long would this have taken you would you normally do it and I wouldn't have done diagrams normally, like it just wouldn't have been time efficient for me and so there we go, again that's something that I wouldn't have even thought about

doing just because it would take too long and now this is something that happens automatically, you can set things such as routines to get stuff going in the back, let me just tick this off while I talk next, okay so now that I'm happy with them now that I'm happy with this this is kind of what I want it to look like

Packaging the Process as a Reusable Skill

from here on out it'll be a case of me now turning it into a skill and so all I'm going to say to Claude is hey Claude turn this into a skill and I just found exactly what I want to say to it hey Claude so this is perfect I want you to turn this into a skill for me I want you to call it the workflow mapper and then basically what will happen is any transcript you get you then map out

the main workflow for it and draw it in xcalia draw and so what claude's going to go through now it's going to go through basically the conversation and it's going to kind of understand the steps it's taken in order to get to this final output that i'm now happy with because this is what i want then for another client and so this skill basically just allows me to apply this skill and

Invoking Skills and Avoiding Re-Explaining Yourself

you can invoke skills multiple different ways you can do a little slash and that pops up kind of the different skills that you have um or you can click on the little plus oh if i take away the slash first take away a little plus um and again these are just skills that i've maybe created i've done

a process once i've done the hard work with it i've worked with ai to get to the output that i'm happy with now i want to bank that hard work i want to turn it into a skill because there's no point in the effort to re -explain to ai and so skills are very like the number one thing you've taken away from this apart from that excalibur maybe a bit slow is don't waste your hard work

in ai you do it you do a task in it you do a job in it if it's in claude tell it to then turn it into a skill because then you can apply that in a different way in a different domain and that method is then locked so claude has its own inbuilt skill creator skill basically telling you the best way to go about creating skills so you don't actually have to do anything so the

hard part is literally just you doing the tasks that you're used to that you do every day in ai first and then getting clawed or getting an ai to then turn into a repeatable process right in that sop right in that standard operating procedure the set of instructions that outline exactly the steps the ai should take in order to complete that task for you the same time again yeah yeah so i mean

it's just going to go through and it's going to finish off um creating that skill and then if i had more time it would be a case of i'll demo that for a different business so i had another little sheet where it'll be a case of okay i want you to go grab it for this business and but then use that

skill on it and that's all i'd have to say and it would go off it would know exactly what it wanted from me it wanted it all in horizontal it wanted to use the excalia draw and it wanted it in green boxes and so i'll all it would basically just be one sentence um again speed on that process and

so this is the skill that it's basically popped out with i can click save skill and now i could do that whole process again if I, yeah, the workflow mapper skill, so that I can click the workflow mapper and be like, hey, do it for this business, but because of time constraints I wouldn't be able to demo that, but yeah.
