Write Once, Tailor Forever - a Live AI Workflow

Introduction

I'd love to have shown you what we've developed at Magnify B, which is our company. We started the company about five years ago itself. We've been developing over the last three, produced a software as a service -based platform to help small businesses grow.

However, with IP constraints and everything else, I can't really show you anything that's replicatable out of that.

Go-to-market: Selling Through Accounting-Firm Channel Partners

We're into the market at the moment. So I decided what I'd do is to say, look, one of the big things that I do is talk to accounting firms.

Okay.

So we sell the product through accounting firms. we have channel partners as we call them, which are some of the biggest UK accounting firms, and they then progress that to their clients so they will promote or they will buy licenses and sell them on.

We're just in the market a few months ago so it's all quite new, however

I prepare all the documentation to then introduce myself and the company and what we do

Using Claude to Create Tailored Partner Documentation

to the accounting firms and one thing I've been using for a long time, about 12 months now, is Claude to do that so I'm going to keep it really simple so there's no really technical stuff in here but I've put on there so it holds a long brief which means a lot of information about what you're doing over a period of time I said I've been

doing this for 12 months with this particular system brand voice so make sure that everything we've got in there understands what we're talking about and I say do this for Magnify B or do this for these clients or use this similar document as a template that's what I'll do in a minute and then I'd have to

re -explain everything so it's tailored to the point where it understands me the company the context what we're trying to do and it'll say things like when i start to try and create a document based on a previous one i'd sent to another company it'll say that the idiosyncrasies the differences are these this is what you need to consider and it'll come back with something

that says these are the main points or the pain points for that company versus something else so that's what we're going to do today so i just put we take one channel partner proposal i've already written tailor it for the new accounting firm and basically that's it as simple as that so very quickly until I show you this live.

Starting With a Strong First Proposal and Iterating

So we write the first one properly. I created one about two months ago and I thought this is what I want to do. I tested it with a few people, sent it to one or two and then said right, generic. And then I tailored it specifically to one company.

I then fed that in for the next one and I update things as I go along as well.

Master Brief, Brand Voice, and Keeping AI Output On-Brand

But basically I'm using the same document that Claude is then coming back and saying here's all the things about company X that you didn't have with company B or company Y with company's head whatever it might be and then I've got the load master and brand guide so I make sure I load that to say this is what it's all about all our branding guidelines make sure we've got the right logos bits the typeset the rest of it and say this is what I want the voice is very important so what you the last thing you need is what people see a lot of the time which is AI coming out with something that isn't you okay base it on a master it'll come back and say okay

this is what I've done you think well actually there's there's something and you probably come come across the old M -Dash that AI puts in all the time, doesn't it? So I'm still forever going back and editing those things, but I do tell it not to use M -Dash a lot of the time, but it'll still come out with a few.

Human-in-the-Loop Review (and Avoiding Tell-Tale AI Artifacts)

So just make sure, big tip from me, whatever you do, that human in the loop thing that people talk about is really essential to make sure that people say, oh, that's probably something that's come from Magnify BL, Simon, not come from AI.

Why Context and Research Matter: AI as an Efficiency Tool

context. Well, we can do the research and that's the other thing about this, remember. So what's To me what AI is about is efficiency.

It's about saying okay I want to try and do something that used to take me I don't know half a day to do proper research on a company find out what it's trying to do look at news articles etc.

Claude can generally and it's just Claude's one of many Claude can do this within a few minutes. Now obviously we've got Claude chat and co -work and

other things but I use co -work to do this mainly when I'll do chat tonight. Same thing it just does in the background it can go away and look at stuff look at emails look at all sorts of things at the

same time as i think scott was mentioning before so when you think about context there's a lot goes into that if you do it properly which we want to probably take quite a while claude can do it in

minutes so air drafts a tailored variant then reworks it reviews we qa or iqa and then tweak it come back in and then i've got something i can ship and then also at the time i can just repeat

it again from that point so what I'll do hopefully this will work I'll just show you what I do here and I've got one this is an actual company that we're working with and if I just drag that in there so I just drag and drop a file and while I'm doing that I'll type I'm not going to talk

to it i'm just going to type this down so create a one pager using the attached document as a template and i forgot to put in one pager and i'll put a company in for the accounting firm dsg who are local and are actually one of our clients as well using the attached document as

A Simple Prompting Pattern: Reuse the Template, Swap the Target Firm

a template so that's as simple as that i could put lots more in there and the more you put in the better but I'm going to keep it simple for now okay so it's going to use that as a template and it's going to take a minute or so to create something but what I'm doing is just saying look

all the bits that are in there the branding the voice the way I've done things I put little bits at the end it's going to create something it's not accurate 100 % of the time so why sometimes games I look at it and think it's put an extra line in there or a bit of purple or whatever it might be that it thought oh I'll do this it does and you have to be very very specific to do that

What the Tool Does in the Background: Research, Formatting, and Layout

but just i'll just talk you through what it's trying to do so it's look at the document converting the document to what it called to mark down to review it so it's doing all the processes that it would do generally anyway instead looking at relevant chats it's pulling up different

documents and linkedin for dsg it's looking at things on the internet it's checking media image sizes looking at the logo and it's reading lots of various things so it's doing the stuff that i would do but in seconds and then it's saying view handshake photo for whatever reason it's looking at everything it can on there to see what it can do to

produce a document that looks as good as the one I've got but for a different company so check colors and fonts it's checking the heading styles table shading so everything we would do to copy and paste or try and edit and as

you know I don't know whether you've seen there's a there's a meme out there at the moment and it's saying you know you're in a room you're trying to move something in Microsoft Word, you move it and the table turns upside down. That's the meme that's out there at the moment.

What it means is as soon as we try and use some of these tools it backfires and does daft things. What we've got here with Claude simply is to say that it just does that for you and says well actually you said that was pink or grey or whatever but actually you've got perhaps proper colour code so let's use that and that's what it's trying to do.

Convert PDF pages to images so it's looking at other things to bring in because I've given it a word document so it's rendering the templates and I mentioned in a minute that basically the time saved is is a lot so I've done it

in terms of me doing it from now so I've already got the master I created if I were to re -edit that I'm pretty good at that now so I could do it in 20 minutes actually it does it in a few as you can see now so it's saving me time whatever however good at this I am and that's just one tiny area of the stuff that we

we do in the business so it's going to it's merging runs in document the thing I find fascinating is you don't realize just how much it does in the background so we're up to you know 100 different things it's doing orchestrating find and replace edits for DSG customization you know it's telling you what it's doing at each stage so the good thing is if I do this in co -work it's just doing it in the background I can do everything else at the same time and it pops up and says that's ready

for you to review or I've got a question and it often asks you different questions so titles editing documents in XML is doing all sorts of stuff in the background it is a bit slow actually could normally be a bit quicker than

this that's the way it works bullet titles I mean it's good because you can see it all but it's just take taking a little longer than normal so normally for me to do this on standard broadband I mean it's literally less than about three minutes to get the whole thing there and then I can look at it it gives

me a prompt it tells me i can open it online i can download it whatever i want to do that i can have it in pdf if i want but i open it in word i'll edit it i'll check it and put it back in so still

going through tools i was asking scott before about the different tools and of course it applies its own tools to what it needs unless you want to do something specific like the drawing and search so i use a drawing tool as well i can't know what the name of it is at the moment but it's not what you use scott but i've done so i've got a background in business process for engineering for big companies and i'm ex -circo so facilities management company i used to use a lot of tools around workflows so i'm really interested in what scott was saying before there we go

so it's now saying all references updated let's rename the title rezip so it's doing all that itself let's render to confirm confirm visually so hopefully that's about it And then I can talk about the rest.

Model Choice Trade-Offs: Speed and Credit Efficiency

Why have you chosen Sonic 5? So Sonic 5 is more efficient at the moment in terms of credits.

So I could use, obviously Scott was talking about this as well, I can use the latest versions of this. I could use CodeWork. It takes a lot more credits.

For things like this as well, sometimes it's slower. I was hoping this would be quicker, but it's not. But it's a lot easier just to do this. There we go, we're getting it now.

But honestly, the thing is, again, I'm not technical, so my team will tell me what I should be or shouldn't be using which is great but for this

Reviewing the Draft: Tailoring, Fact-Checking, and Final Edits

there you go it's nice and simple so if I just open this for you so it's got the benefits of Magnify B virtual advisor platform for DSG and their clients it's now rewritten everything they had before for what was WR Partners another big company in the UK and it's saying this is what it is this is what it can do it's a scalable digital advisory engine so you've got the M dashes

appearing again so if i had said don't use that it wouldn't have done except on the other occasion so it also does this so this bit here with dsg's roots and there was community not 1887 that's the stuff that i can find but i've got to then start writing all this in it you know let's say that normally takes three minutes or four minutes that's what you need and then i can take that out

i can edit it and i can just say right that's what i want remove m dashes and traces of things like that not that i'm trying to tell people it's not ai what i mean is it's just not me so you remove move those things so I've got things in there it's saying that's the specifics for DSG and then it says about being proactive across the client base etc a lot of this is reasonably

generic I can reuse and it's reused but it's then tailored it so you know enhance client preparedness specialist services some companies don't have those so if they're advertising they've got specialist services it will detail that and then how we support their clients directly different advice etc and then it gives me a table here which is useful I kind of move that so it

looks a bit better but it's telling me i can do scale advisory capacity i can do better quality client data that kind of stuff and then a summary and then what often what i do is yeah it's put

off page so that's what i put in at the end so that's my uh so all my staff all my background on zoom and search that's what that is the the strap line every small business there's a smart partners there it's brought that back in and played it there now obviously i've got to edit that because it should fit on the bottom page so it's made it too big but it's really really useful

Impact: Time Savings and Scaling Outreach

to do that so last bit from me so basically what it saves so I reckon that it's probably a minimum of an hour's time for 10 minutes operation on with co -work it's probably less than that but I just I tried to make sure it was reasonable and I'm looking at per tailor documents so if I do

I mean I've got 420 companies we're talking to at the moment they're all in the top 500 companies in the UK in accounting so again it's quite important to us to get this right so I can replicate this very quickly it's probably six times the amount I can do in the same time roughly is what I've kind of worked out and it's not just me but again this is what I'm doing

physically so let's just say because it's just creating a document 150 pounds a time every time I do this I'm talking about 450 of them that's just one document to these organizations if I do do a lot more of this which I do in different areas saves an absolute fortune so the last bit

Practical Tips and Risk Management

from me is the tips so I've got three at the bottom if you can see them properly so don't paste confidential information we all know that but just check data handling terms so one of the

things my background is so with a circle hat on is all about contracts and how they apply and looking at making sure you don't trip over things like that so we're very very careful to make sure you've got data handling terms whenever you do anything like this if it puts things in that to proprietary that's a no -no so you've got to really tell it and train it to do that as well

it can invent plausible facts we know that they sound great oh yeah that's wonderful we've had that not long ago with a was it pinson masons the law firm and i don't know if you saw it there was a big court case about it and they allowed information from a junior to go right to the top and be signed off that no one checked and ai had invented it simple as that it was a case that went to court and the judge said this isn't a real case simple as that so watch out for things like

that human checks and then the generic AI voice I've already mentioned that can creep in very easily if you do a QA and not just have a template with all its

stuff in it's your stuff it works really well okay thank you very much thank you
