Speak first, think later: how dictation rewired my AI & life workflows

Speak First, Think Later

Hi everyone, I'm really happy to be here tonight to talk to you about how you can gain time in your everyday life no matter what you do and no matter how extravagant your professional or personal lives might be.

And that's why this call is entitled Speak First and Think Later.

Why Speaking Can Save Time

So, do any of you know how fast you're writing and you're typing? 200 euros per minute. Wow. Ambitious. Okay. Do we have any other guesses? Yeah. Actually, this is the average. So 200 was like ambitious. We're actually typing at 40 words per minute on average.

And if you look at the average of what I do speak, the speed at which I speak is about four times that it's 158 words maybe you speak faster maybe you speak slower maybe you take your time but this is my average the reason I'm talking about it is if you if you look at the way we spend our days we spend a lot of time typing we type we type we type we type slack prompts messages everything we

just type and if you look at athletes for a second they do everything to to optimize their day even by a second so that their time during the competition is gonna be better.

I don't know if you remember, I think in 2008 we had a swimming issue where some swimmers started wearing some suits, et cetera, et cetera, which increased or decreased in this case their time by about two seconds. And for a hundred meters long swim, it's about 47 seconds. So if you gain two seconds, it's massive.

okay and it's the same we don't think about some of our the parts of some of our days where we can optimize and optimize and optimize so today i wanted to talk to you about how what i do to basically leverage that which what is the tool that i use how to use it which capacities it does have etc etc so you can see whether or not you wanted to use it for yourself okay

Why I Use Voice Dictation

Okay, the reason I do that is a couple of reasons, actually three reasons. I know, and that's my personal take, that I am clearer in my head when I speak. So when I type, I tend to edit, think, oh no, not this, just saying too much about things. And so I know that personally when I speak, I am clearer. My ideas become clearer, especially when it comes to strategic tasks, I think better when I speak. speak. So that's one of the first reasons I moved to that.

The second is when you're speaking, sometimes you tend to be a little bit more broad about the context that you give. And that's specifically useful when it comes to AI because you want to give it context and when you type, you tend to be like, oh, lazy me, I will just make it quicker. So when you speak, you also have the capacity to give more context to AI in a smaller time.

and you and that means in the case when you're not speaking to the AI with whatever device you're using and the second thing is I stop postponing especially when it comes to emails that are like super painful but needs a two -minute reply then it means that you can time that really fast okay so those are my three reasons your reasons can be totally different but that's why I move

Where Voice Dictation Helps Most

to this the tool I use is whisper flow which I will show you in a second some Some of you might be familiar with it because I feel like they've been spoken about, spoken about, for super, super long. But those are the cases where I use it the most and then I'll show you what it looks like in practice.

Work: Prompts, Emails, and Slack

So when it comes to at work, I use it for long prompts in Cloud, especially when I need Cloud to help me with strategic tasks. I feel like this is the best way for me to just gain time in doing the prompts, et cetera.

Sometimes I spend mornings where I'm like starting three or four different Clouds and I'm like, okay, I need this, blah, blah, blah, blah, blah, this, blah, blah, blah, blah, and then I slowly come back to them during the day.

The next thing is the quick emails I already mentioned, and the third thing, especially when I work from home on Fridays, is the quick Slack replies to my team members, so that I gain also a bit of time in their questions, et cetera, et cetera.

Personal Life and Ideas on the Go

I also use it on the go, and that's more for my personal life, so anything that has to do with LinkedIn comments and DMs, I tend to receive quite a lot of DMs, so for me, it's easier to reply that way nobody uses the voice message in linkedin to my desperation so writing i mean speaking for me and writing for the system is easier the second thing is sometimes for my home

agents we have a family agent with my partner um story for another time my memory his memory family memory anyway but i use it sometimes but i do feel like this telegram voice note is a bit better when it comes to putting in writing so I don't use it that much but sometimes it does happen what's up with friends that never listened to your voice messages

really good way to use it and also when I'm on the go and I want to write an idea somewhere I just use it so those are the main cases but there might be like other cases that I haven't mentioned that could be useful I'll show you a couple of things in the tool and then also you can see like some elements

that could be that could be useful any questions over I mean no questions are after no questions so forth and I'll show you afterward afterwards also where

Whisper Flow in Practice

it breaks and you need to be a bit mindful so the tool that I use is called whisper flow so the platform on Mac look like this I also wanted to show you I show you after the what it looks like on iPhone sorry I'm fully Apple and and android is a bit similar but it looks like this so once you installed it you have the comment to

write and speak etc etc wherever you want and wherever you need so let's say i open a quick new cloud discussion and i'm like can you give me the last campaign we launched on google ads because I work in marketing and then it will go because I work in marketing why

not but let's say I do something like I have an appointment on Thursday at 8 well not really 8 maybe more 9 p .m. I will get there by mmm let's say 850 and check in on this yeah okay in this case it didn't pick up but sometimes like Like most of the time, actually not for this demo, obviously it seems, but it picks up that you're changing the time and then adapts the time as you speak.

Also, I feel like, I don't know if you tried the, before that I was using the dictation tool in my iPhone and I had to say, hi, comma, how are you? Question mark, et cetera, et cetera. And here I feel like I'm already getting time anyway with the punctuation. So it makes things a bit easier.

Dictating Anywhere on Your Mac

So on cloud, I would use it like this. The only thing that I did on Mac is press my F and button here and wherever I want to I just place my cursor wherever I want to write and press F and speak and it goes there if you are in a louder environment it tends to pick up really well even if people are speaking around you so for me it

works really well and then it depends also on your work and your work policy etc because sometimes it also depends on who you have around and you will not maybe help me do the performance review for the employee sitting in front of me not necessarily something to do but it's it's really helpful that way there are a

Languages, Text History, and Notes

couple of other things that you have as as options also in whisper flow first you can put several languages so I mostly speak in French and English so I enabled both of them whether I speak in French or English it does pick up everything I don't need to say hey I'm switching to French I also do a lot of what I call franglish a mix of both and it picks up the mix of both so for me

that's really handy anything that you say is also copied here so let's say you place your cursor somewhere you don't want you can still copy paste the the text out of it into another place so for me that's the most like the function i use the most you do also have a note taker so if you

connect your calendar you will have let's say i could join um the mindstone event that is in my my calendar and then the note taker would start automatically but it does detect on your Mac whether you're launching meeting or not and it will suggest do you want us to activate the note taker I personally don't use the note taker because it doesn't alert people that you're taking notes with an AI tool because it doesn't connect into the call and I find that from a GDPR perspective not really compliant but and also my company also use different tools etc to take notes so I don't really use this function then you can have also

insights on how quickly you speak apparently I speak a bit slower those days and whether you use that on different where you use it etc etc you

Dictionary, Snippets, and Writing Styles

have also a dictionary and over time you might use like abbreviation or things that you want the system to pick up you can enter them manually or it will pick them up as you're speaking so let's say um let's say i am replied to a dm on linkedin and the person is called jonas but it's with a g instead of a j for instance i will it would say jonas probably with a with a j and then i will correct it to a g and the system will pick up that i corrected it so it will add it to my dictionary whether i have many jonases with these is a it's a different questions but that is a different thing things obviously there's no emoji in the way in how it speaks up um it's just the name i don't know why they put an emoji everywhere um

so yeah so those are um elements that are also interesting um and then you also can also enter like whenever you're saying my email address they will input your email address or whenever you're saying i don't know something that is personal to you you can input there i haven't used that much because i don't feel like there is a lot of use case for me so far but it could be useful for

for you and then you also when you set up your whisper flow they will ask it at the beginning but you do have different tones of voice and you can still alternate between one or the other because potentially if you're like me i'm more casual with friends more formal at work etc etc more formal also when I reply to LinkedIn comments etc and so I can use and toggle with that whenever I want so it's a really good way also to fit your

Prompt Refinement and Integrations

your own tone and then you also have a couple of options I think the ones are the one I use the most is a prompt engineer thing so let's say let's come back to my prompt and I do an option to it will basically rework my what I wrote into like a proper prompt for AI so with the title the role and stance I think I inputted like something weird so don't take it as the best example but the task the context etc etc it's a really good way if you have a really long prompt to just like clean it and look at it and be like okay what is what I actually want

so for me those are the things that I use the most you also have the the possibilities to also connect a couple of MCPs and connectors so I only connect in my Google Calendar but I could do it also for Slack and also the MCP to Cloud.

I personally don't do that because the way for me to be focused on a call is to take notes that helps me focus into the conversation or to the conversation and so I already have Drive connected into Cloud so it has access to my notes so I don't really need that and plus we have the AI taking notes so here we go but you could do it if that's useful for you so those are the things that I use the most and I was wondering if there were any other things but I think I think that's what the extent of which I've used the the system on the note taker also you have a couple

of options like do you want the music to stop when you're dictating or do you want your music to still continue when you're dictating those types of things also are available on there so that's for how what it looks like on on Mac and

Using Whisper Flow on Mobile

automatically so sorry Reginald I'm on our rest up composition but on the iPhone side it looks like an app so you still have the app as well you still can find as I was showing to you the the text etc that you can copy paste if you didn't put in the right app etc and you still find like a couple of options like the style like the snippets the dictionary and even a scratch pad as well if you want to create a note when you want to activate it it appears in the the in the different keyboards that you have so have so many speak so many languages and

then I because iPhone is I mean Apple is big on privacy you have to stop the app and so and so no words remaining so I'm still on the free account on this one but if you connect to this one so let me just you can't change the account and if you connect to this one then it launches and then it uh it uh sign out continue and let's take this one and then you will be able to um up here we go we're back in business and then you start and you have no words but it then you start with a mic so you can enable the mic and just um and just go with go with the the flow so that's yeah that's all for for whisper flow the Android version of

this looks slightly different because at Android you will have a tiny little thing hovering here so when you want to activate it deactivate it etc on iPhone if you activate it then after you always have like an orange thing telling you like basically we're listening and that you can deactivate and then on your on your notification pad it always stays on that whisper flow and it's on so you can quickly turn it off so that's for what it looks like in practice and then I

then you have how do we do that again and dude and then you have what it

Limits and Best Practices

think there are a couple of things just to think of and if you if you want to use it and the first thing is if you talk about like very specific numbers etc it might be better to type and to make sure that you have everything

correct the second thing is sometimes writing is a good way to process your thinking i've been told so it's also maybe a way to slow down that you should consider when thinking

about strategic things etc and then the last thing i would be one of the last thing i would be mindful of is public spaces um just for gdpr reasons and also confidentiality of what you're doing that is also really important and then at the languages you can obviously set them all up

and if you start to speak German for instance at some points you can add it very quickly so it can really alternate between a lot of languages I personally just have English and French but you can put it put more so yeah that's what I wanted to share with you
